Keep the part number, cross-reference and vehicle configuration distinct.
Start with the number on the item
Copy the reference from the original label or a reliable vehicle-specific record. Keep letters, digits and suffixes exactly as shown. A photograph gives the supplier useful context.
Keep alternatives separate
A listing may include an OE reference, a manufacturer number and an alternative. Put each number in its own field. Ask which one identifies the actual offered item.
Add the vehicle configuration
Include brand, model, year and powertrain. Market specification, facelift and trim can change a component even when the model badge stays the same.
Check side and position
Specify left or right, front or rear and the relevant axle or panel. Compare mounting points and connectors when similar variants appear.
Resolve uncertainty before ordering
Where sources disagree, request actual-item photos and a written fitment confirmation. Do not treat a similar number as an approved substitute.
Keep a final agreed list
Record the requested OE number, offered reference and quantity on each approved line. This makes the quotation, packing list and receiving check easier to compare.
